What you can expect from the Annual Report Planning Session

Before we meet, send over what you've got: your previous report, this year's draft (even if it's messy), your content outline, or any donor materials you're pulling from.

During the session, we’ll talk through what you want this year’s report to do, who it needs to serve, and how it’s currently being used (or honestly… not being used).

We may look at past reports as reference points, to understand what’s working and where there’s room to get more value out of the work you’re already doing.

We’ll also walk through realistic options for developing your report based on your team size and capacity—whether that means sticking with a freelancer, using templates, designing in-house, or partnering with us for a more strategic build.

Investment

The Annual Report Planning Session is $1,200.

The session runs 1 hour and 15 minutes.

What happens after the session?

Some teams move into a Design Intensive for execution and repurposing support (Design Intensives typically begin at $15k).

Others choose templates, in-house execution, or take the plan and move forward on their own.

If we do continue together, the Planning Session becomes Phase One of our Annual Report Design Intensive and is applied toward the overall cost.

Do I need to have everything ready before booking?

No. We work with whatever you have right now—past reports, drafts, or rough materials.

What do I actually receive from the session?

This is a working conversation, not a packaged set of deliverables.

You’ll leave with clear direction for your annual report, a short list of priorities, and a practical sense of what makes sense next.

After the session, you’ll receive a brief follow-up email within 24-48 hours summarizing the key decisions and next steps we discussed.

If we continue into a Design Intensive, this session becomes Phase One of that work.

Do you work with smaller nonprofits?

Yes. This session helps determine what level of support actually makes sense. Not every organization needs the same scope.

What if I have a quick question before booking?

You’re welcome to email hello@actoncircle.co. If a short 15 minute chat would be helpful, I’ll suggest it.

What if I need to cancel or reschedule?

This session is reserved specifically for your organization, so I ask that bookings be treated as a firm commitment.

If something truly unavoidable comes up, you’re welcome to reschedule the session once with at least 48 hours’ notice.

The session fee is non-refundable, as the time is held and preparation happens ahead of our call.

What if this isn’t the right fit?

If, after reviewing your intake, it’s clear this session isn’t the right fit, I’ll let you know and issue a full refund. This doesn’t happen often, but it’s important to say out loud.

The goal is for this session to be genuinely helpful, not forced.
